JOB TITLE: Coding Manager

GENERAL SUMMARY OF DUTIES: Responsible for managing, directing and monitoring reimbursement/ coding activities on all services including securing, maintaining and distributing the most current coding information and implementing changes.

SUPERVISION RECEIVED: Reports to Area Manager and/or Office Manager.

SUPERVISION EXERCISED: Exercises general supervision over coding staff.

ESSENTIAL FUNCTIONS:

1. Directs and supervises coding staff to ensure timely, accurate and complete processing of clinic services. Adheres to and enforces all policies and procedures set forth in the Employee Handbook, ACS Practice Management, Compliance and HIPAA Manuals.

2. Reviews samples of coded services on a daily basis for accuracy and completeness.

3. Keeps current on new coding policies and procedures developed by Compliance Manager. Oversees coding reviews with physicians.

4. Codes services of questionable or new items and reviews proper coding with those involved. Reports questionable items to Compliance Manager for review.

5. Monitors reimbursement of selected procedures on a continuous basis and identifies changes in reimbursement patterns.

6. Gathers and considers patient reimbursement data, analyzes results, and prepares reports. Investigates in reimbursement from identical codes and investigates instances of low reimbursement.

7. Distributes coding information to appropriate personnel. Resolves patient charge problems.

8. Maintains reimbursement profiles from third parties and compares with clinic fees. Conducts annual fee survey to compare fees with codes.

9. Stays current with changes in reimbursement regulations. Notifies and trains staff of significant changes.

10. Supervises coding personnel and conducts quality control/performance studies.

11. Conducts periodic medical record audits to ensure documentation is consistent with billing.

12. Oversees charges for billable supplies and ensures proper markup is implemented.

13. Assists with the selection, training and performance evaluation of assigned staff. Recommends merit increases, promotions, and disciplinary actions.

14. Participates in professional development activities.

15. Maintains strictest confidentiality.

 

The job holder must demonstrate competencies applicable to the job position.

EDUCATION: Continuing Education of Current Local, State and Federal Guidelines for Medical Billing Procedures.

 

EXPERIENCE: Minimum of three years of experience with coding and/or reimbursement activities including two years supervisory experience.

 

REQUIREMENTS: Medical record certification as an ART desirable.

 

KNOWLEDGE:

1. Knowledge of clinic approved/international coding schema.

2. Knowledge of third party fee profiles and reimbursement requirements.

 

SKILLS:

1. Skill in advanced computer coding applications.

2. Skill in identifying and resolving complex coding problems.

3. Skill in exercising initiative, judgment, discretion and decision-making to achieve organizational

objectives.

4. Skill in establishing and maintaining effective working relationships with patients, medical staff and the

public.

 

ABILITIES:

1. Ability to delegate responsibility and authority to staff.

2. Ability to communicate information effectively with patients, medical staff, and others.

 

PHYSICAL/MENTAL DEMANDS: Requires sitting and standing associated with a normal office environment. Manual dexterity for using a calculator and computer keyboard.

 

ENVIRONMENTAL/WORKING CONDITIONS: Normal office environment.

Occasional evening or weekend work.
